Georgia Petinarelis, Principal of Hellenic Academy of York, was spending 90 minutes per reporting period manually entering student data across 160 report cards. With Lumin's pre-population and merge capabilities, that time dropped to 30 minutes.
As Principal of a credit-bearing high school in its second year of accreditation, Georgia Petinarelis needed a better way to handle administrative documentation. Operating a part-time Saturday school serving 40 students, she had to meet strict Ontario Ministry of Education compliance requirements while coordinating with multiple external day schools.
The existing system wasn’t working. Four-page report cards per student meant 160 pages of precisely formatted, Ministry-compliant documentation each reporting period. Previous tools broke formatting, created collaboration barriers across email domains, and made version control difficult.
"I was downloading and uploading documents; it got very confusing,” Georgia explains. “I wasn’t sure whether I had signed this one and uploaded this one, and then I would go to download it and share it again.”
The result? Georgia manually entered data one-by-one for all 40 students, taking roughly 90 minutes per reporting period. When a new teacher with a different email domain needed access, domain restrictions created unnecessary delays. With Ministry deadlines and a small team operating only on Saturdays, the process needed to be more efficient.
The solution
After trying familiar tools like Google Suite that couldn’t maintain document integrity, Georgia found Lumin.
“I’m firmly of the opinion that if technology comes out and it needs a manual, then it’s no good,” she says. “With Lumin, it was a quick little tutorial; I got exactly what I needed."
The key feature? Pre-population and merge capabilities. Instead of manually entering student information across 160 pages, Georgia could set up headers and student data once, then merge them across all pages. “Once we set up the first one, then the rest of them were very quick.”
Domain restrictions disappeared. Teachers with any email address could collaborate seamlessly, and external schools received documents without technical barriers. Document formatting remained intact, meeting Ministry standards.
Report card preparation dropped from 90 minutes to 30 minutes, a 67% reduction in administrative time. More importantly, Georgia could redirect those saved hours to higher-value work.
“Lumin has given me back time that I can use elsewhere,” she explains. “For me as an administrator, this means I can spend more time helping my staff develop the comments and structure of things as opposed to entering and re-entering data."
This shift from repetitive data entry to academic leadership represents the real return on investment. Georgia now focuses on guiding teachers on meaningful student feedback, developing curriculum structure, and planning for organizational growth.
Teachers benefit too. Copy-paste functionality across multiple student reports eliminates repetitive typing, and Lumin's templates feature, which Georgia discovered independently, further speeds their workflows.
The impact extended beyond the high school. The elementary school counterpart has now integrated Lumin into its existing systems and adopted more streamlined, Lumin-aligned processes based on the high school’s success. “We’ve incorporated Lumin within that existing system. So we don’t have to get a separate system.”
Why Georgia recommends Lumin
“Lumin is a valuable time saver. You have the opportunity to create, so you’re learning as opposed to consuming.”
For schools and non-profits managing government compliance with limited resources, Georgia found a solution that worked.
Lumin handled all 40 students without document limits, allowed teachers from any email domain to collaborate and maintained the precise Ministry-compliant formatting required. When deadlines approached, priority support was there to help.
Now in its second year of accreditation, the Hellenic Academy of York is positioned for growth, and Georgia is confident Lumin can scale alongside them.
